Northrop Grumman Mission Systems is seeking an Administrative Assistant 3 supporting several important programs in Aurora, Colorado.
PRINCIPAL DUTIES INCLUDE:
This position will support multiple programs and a number of employees while using a variety of software packages, in particular Microsoft Office Products such as Word, Excel, PowerPoint for slide presentations and graphics and Outlook for electronic mail and calendar management. The candidate must have excellent written and oral communication skills. Responsibilities include be proofreading documents for correct grammar and spelling, operating general office equipment such as copiers, scanners, fax machines, etc., and setting up and maintaining filing and record retention systems, soft and hard copies.
This positon requires strong interpersonal skills and the ability to multi-task and prioritize assignments. Must be a self-starter capable of independent work and a team player, assisting other Administrative Assistants and taking on additional projects. Required to assist with large, special campus events as needed. This position will be back-up support for other admins on the campus. This position will also assist with campus proposal efforts as needed.
This position requires coordinating multiple calendars for managers, scheduling appointments and de-conflict appointment times and locations when needed, across multiple time zones. The candidate will coordinate program meetings and their necessary resources such as computers, dial in numbers and Skype meeting instructions.
As administrative support for business meetings, this position requires catering skills such as meal planning, ordering food from caterers, delivering food to the meeting rooms, taking attendance for the meeting, cleaning up after the meeting, and processing the expense reports for the food. It may also entail buying bulk items such as bottled water, paper products, etc. for business meetings as needed and delivering them to your program area.
The Administrative Assistant will prepare, book and make adjustments to business travel, both domestic and international travel. Some coordination with Security to process visitor certificates may be required. Responsibilities include processing expense reports in a timely manner, using the on-line booking tool Concur, for multiple employees.
Working with the Facilities and the IT organization and gathering all the individual employee information, the candidate will process office move orders for your programs, using Excel workbooks and the MYIT on-line ticket processing application. This position will also be responsible for ordering additional computers, laptops, monitors, cell phones, etc. for teammates.
May be required to answer telephones, greet visitors, direct telephone calls/visitors to proper party. Must be able to act with discretion and good judgment when handling or disseminating sensitive, confidential or proprietary information.
