Northrop Grumman Mission Systems Sperry Marine is seeking an on-site Service Coordination and Invoicing Administrator at its St. Rose, Louisiana facility. Sperry Marine provides the commercial and defense maritime industry with Navigation Solutions that excel in efficiency, reliability and safety.
The Service Coordination and Invoicing Administrator is responsible for the daily handling of all incoming service requests, key point of contact for the customers and also arranges services worldwide. They will be part of a global team providing 24/7 service, which involves taking and processing transactions by telephone, internet, and correspondence from customers and representatives, entering and maintaining database records of customer profiles and preparing and maintaining status reports, acting as liaison for customers, and maintaining knowledge of company products and customer service processes.
Key Accountabilities
- Handling of all incoming service requests for service and follow up services both locally and globally
- Reviewing a high volume of e-mails and prioritizing responses taking into account time sensitive issues, shipment of spare parts, commitment to customers and outside assistance
- Liaising with ships agents worldwide to arrange the attendance and shipment of parts.
- Responsible for service confirmation, quotations of worldwide service rates to customers including expenses and checking availability of spare parts.
- Verifying customer financial data and preparing pro-forma invoice/payment in advance transactions.
- Liaising with shipping department to arrange delivery of spares within given time scales, port location and local limitations.
- Responsible for providing feedback/outcome of service to customer and providing solutions for follow up services.
- Arranging returns for defective and unused parts via the RMA process.
- Collaborating with the sales team to organize installation projects and to provide information regarding retrofit opportunities.
- Participate in the U.S. on call rotation to support the 24/7 service business
- Service Invoicing for chargeable, warranty and contract services.
- Monitor and manage the service work in progress log to insure timely invoicing and job closure
- Processing of credit notes after obtaining relevant approvals
- Address queries from finance and customers concerning invoices
Basic Qualifications:
- High School diploma or equivalent and 4 years additional education and/or related experience and Prior Inbound Call Center or Service Dispatch experience.
- Ability to work after hours on a rotational basis remotely.
- Work is on site 3 days per week after training period.
- Experience working in a fast paced and dynamic environment
- Excellent customer service skills
- Ability to remain calm under pressure and problem solve
- Ability to handle different tasks simultaneously
- Fluent English language written and spoken
- Strong Administrative skills
- Organized and time efficient
Preferred Qualifications:
- Associate's Degree
- Prior DoD or Military experience
- Auditing and Invoicing background
