Northrop Grumman is seeking a high energy, dependable Administrative Assistant to join our Engineering team at the Colorado Springs campus. This position reports to the Engineering Managers and supports his entire organization (approximately 360 people).  The individual reviews drafts documents for appropriate grammatical usage; answers questions relating to office operations; issues reports and other notifications on behalf of the Engineering Manager; and compiles and generates reports, statistics, timelines, tables, graphs, correspondence and presentations using Microsoft Office and other tools. This role will also work with other team members to compile and generate presentations summarizing departmental performance activity against published goals.  Further duties included arranging meetings, setting up and maintaining files, arranging travel for personnel, processing associated expense reports and supporting the on-boarding of new team members.  This position requires in-office presence; it is not a 100% remote work role. The successful candidate will work well in a team environment, be an independent thinker, and have a track record of working well in a multi-faceted environment. This position requires excellent communication skills, ability to multi-task and organize/prioritize tasks independently, have strong office management and interpersonal skills and be able to collaborate with other administrative assistants in the organization. 

Principal Duties:

  • Arrange meetings and teleconferences, track action items and coordinate technical reviews
  • Maintain the Engineering Manager’s calendar
  • Review drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.
  • Update SharePoint site data
  • Coordinate travel arrangements (both Domestic and International) and process expense reports
  • Coordinate on-boarding of personnel
  • Answer questions and solve problems related to office operations and established policies and procedures
  • Maintain department metric status and visual boards
  • Create, maintain and follow-up on action lists
  • Maintain staff meeting agendas and notes
  • Interface with all levels of company management
  • Provide purchasing support for typical office supplies as required
  • Support and collaborate with other Administrative Assistants within the company as needed
  • Other duties as assigned

Basic Qualifications: 

  • High School Diploma or (G.E.D) General Education Diploma required.
  • Minimum of 6 years of experience as an administrative assistant or performing administrative related work.
  • Experience in Microsoft Office Suite including Word, Outlook, Excel, PowerPoint, and Microsoft SharePoint
  • Experienced with organizing/maintaining schedules/calendars, and travel arrangement
  • Experience in Concur/ITRIP and I-Buy
  • Possesses strong verbal and written communication skills
  • Must have highest level of integrity and be able to maintain confidences with utmost discretion

Preferred Qualifications:

  • Associates or Bachelor’s Degree from an accredited institution in a Business or related field
  • Proficiency in Microsoft Office suite including MS Word, PowerPoint, and Excel.
  • Technical experience generating reports using Excel
  • Proficiency with Atlassian Tool suite, specifically Confluence and Jira
  • Ability to work with minimal supervision
  • Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
  • Familiarity with Northrop Grumman (NG) policies and procedures
  • Ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently
  • Knowledge of government customers preferred
  • Previous experience in aerospace or manufacturing environment preferred

Salary Range: 38400 - 64000

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
