This administrative assistant role reports directly to the Senior Director for Systems Engineering in the Tactical Space Systems Division of Northrop Grumman’s Space Sector. The selected candidate performs vital administrative, logistical and office functions for a large and growing engineering management team. The role requires initiative, judgment, knowledge, skill and the ability to relieve directors and managers of administrative details and to assist in the organization, management and administration of business procedures, policies and methods. The administrative assistant will need to create and/or maintain regular updates to files with confidential data related to employee workforce and indirect labor charging, as well as to collect information needed by the management team regarding recruiting, labor management, scheduling and the financial tracking and support for conferences and periodic management reports. Arrange meetings as directed.

Responsibilities:

  • Interacts with several levels of internal functional organizations and external representatives.

  • Compose and prepare confidential correspondence, reports and other complex documents.

  • Create and maintain weekly or monthly personnel rosters and perform workforce data analyses.

  • Create, double check, and maintain weekly and monthly labor data reports, and perform analyses with the data.

  • Manage and update the content provided on directorate Sharepoint and Confluence pages

  • Screen incoming calls and correspondence and respond independently when possible.

  • Arrange programs, events or conferences by planning & tracking information, sending invitations, coordinating speakers and controlling event budgets.

  • Direct preparation of records, such as agenda, notices, minutes and resolutions for meetings and materials needed for presentations.

  • Manage and act as a custodian of directorate documents and records.

  • Manage supervisor's calendar and independently schedule appointments.

  • Arrange detailed travel plans and itineraries, compile documents for travel-related business and expense reports.

  • Prepare or interpret memorandums outlining and explaining administrative procedures and policies.

  • Support scheduling of interview candidates and track the progress of the recruiting-to-hire and staffing process

  • Perform related duties as assigned or required.

Basic Qualifications:

  • A High School Diploma or General Education Degree

  • Minimum of 4 years of related experience is required

  • Proficient in Microsoft Word, Excel and PowerPoint, as well as Outlook

  • Advanced Excel skills using formulas, Pivot Tables, and data analyses

  • Good organizational, planning and time management skills

  • Proficient verbal and written communication skills.

  • Ability to manage multiple tasks, both routine and unexpected, with attention to details and with limited direction.

Preferred Qualifications:

  • An Associate’s Degree (AA/AS) or equivalent experience.

  • Experience with monthly and annual financial planning, budget and actuals data analyses

  • Sharepoint experience

  • OneNote experience

  • Confluence and Jira experience

  • Configuration and data management experience

  • Agile methods experience

Salary Range: 49200 - 82000

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
