Northrop Grumman Defense Systems is seeking an Executive Administrative Assistant to support the Defense Systems Vice-President (VP) of Global Supply Chain & Infrastructure and VP of Technology, Engineering, and Manufacturing in Mclean, Virginia.


Job responsibilities include:


·Completes a broad variety of administrative tasks for the VPs including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.  Will handle domestic and international travel requests.

·Researches, prioritizes, and follows up on incoming issues and concerns addressed to the VPs, including those of a sensitive or confidential nature.

·Provides smooth communication between the VP offices and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

·Works closely and effectively with the VPs to keep them well informed of upcoming commitments and responsibilities, following up appropriately.  

·Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

·Interacts with Division, Sector, Corporate high-level executives, administrative, and line management personnel to gather or convey relevant information

General clerical duties to include but not limited to:

  • Photocopying
  • Scanning
  • Coordination and scheduling of meetings (Teams, Zoom) internally but also with External customers and suppliers
  • Coordinates staff meetings, teleconferences and site visits
  • Screens calls and forwards messages
  • Maintain filing system

· Places requests and coordinates orders for office supplies, catering, facilities and IT support

· Protects and maintains confidentiality

· May act as coordinator of special projects, following up on pending details, coordinating activities, and ensuring deadlines are met

· Answer questions relating to executive office operations and established policies and procedures

Basic Qualifications:

  • Must have High school diploma or GED with a minimum of 6 years of additional education and/or related administrative experience to include experience supporting senior executives.
  • Must be able to work on-site in Mclean, Virginia.
  • Experience maintaining multiple calendars.
  • Experience scheduling meetings for senior management and coordinating logistical support for internal and external meetings, including offsite events.
  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to manage multiple tasks and changing needs
  • Experience scheduling domestic and international travel plans.
  • Computer skills required include advanced expertise in Microsoft Word, Excel, Microsoft Access, PowerPoint, and Outlook
  • Demonstrated ability to perform detail-oriented work, without close supervision.
  • Must be able to independently assess priorities and work with confidential information.
  • Demonstrated ability to manage multiple administrative projects and initiatives.
  • Ability to obtain and maintain a security clearance (up to Top Secret).  


Preferred Qualifications:

  • 10 years of experience supporting C-suite executives
  • Proficient in Microsoft Word, Excel, Microsoft Access, PowerPoint, Outlook (to produce and distribute email, letters, memoranda and reports), Sharepoint, Concur, iTRIP and iBuy systems, Teams, Skype and Zoom.
  • Knowledge of NGC resources, policies, and procedures.

Salary Range: $63,900 USD - $115,500 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
