Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisor’s assignment. Proactively works to identify and close issues in a timely manner; ensures policy compliance; and provides mentoring to less experienced co-workers.Â
 Basic Qualifications:
- Extensive travel planning, including large percentage of International
- Expense preparation including International trip expensing, which must be completed in a timely manner
- Arranging meetings and conferences: reserving conference rooms, managing conflicting outlook calendars, creating/managing Outlook invites, coordinating meal plans if necessary across numerous time zones
- High school diploma plus 4 years of administrative assistant experience supporting senior management
- Must have the ability to execute tasks and projects independently and work multiple concurrent activities
- Must be an exceptional team player, proactive, self-motivated, well-organized and detail oriented
- Must be able to work with minimal supervision
- Requires intermediate level use of Microsoft Office Suite (Word, PowerPoint, Excel) and automated purchasing and travel booking and reimbursement software tools.
- Must be able to attain a DoD security clearance
Preferred Qualifications:
- Requires outstanding verbal and written communication and interpersonal skills
- Demonstrated ability to interact effectively across all levels of the organization and with outside organizations/customers
- Requires the ability to protect and maintain confidentiality
- Interacts with Sector and Division executives, administrative assistants and line management personnel to gather or convey relevant information.Â
- Responsible for handling manager and line management calendars and all communications with accuracy, along with domestic/international travel plans and expense reports
- Reviews drafts and finishes documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures
- Uses software for functional area to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations
- May design processes to enhance work flow; gathers, compiles and reports on information relevant to supervisor’s assignment
- Proactively works to identify and close issues in a timely manner; ensures policy compliance; and provides mentoring to less experienced co-workers
- Knowledge of Northrop Grumman Corporate and Aerospace Systems sector policies and procedures
- Experience with IBUY, Concur and ITRIP
- Prior experience coordinating both on and offsite meetings and/or events with participation by executives and customers
- Ability to work well in a team environment
- Ability to work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts and providing excellent follow through.
- 4 year college degree
