Northrop Grumman is seeking an experienced Executive Administrative Assistant to support the Vice President of Contracts and Corporate Compliance Officer. This position may be located in Falls Church, Virginia or may be fully remote.

As a valued member of the Contracts and Compliance leadership teams, the Executive Assistant is the center of day-to-day operations and will be welcomed into a team environment where input is invited, growth is encouraged, and mutual support is the standard.

The Administrative Assistant to VP anticipates and facilitates organizational, administrative, and clerical needs to contribute to the effective operation of the contracts and compliance teams. Work assignments are complex in nature, where considerable initiative, judgment, tact, discretion, and creativity are required in resolving problems.

The successful candidate must be a self-starter, able to independently execute tasks, will be expected to multi-task and balance daily activities with managing projects to completion.

The primary responsibilities of the position include but are not limited to:

• Manages the VP’s calendar and schedules appointments, prioritizes appointments, tracks schedule, prepares participants for upcoming meetings, proactively collects meeting and read-ahead materials, and ensures that key meetings are attended, and deadlines are met.
• Assists in maintaining organization collaboration sites and activities. 
• Assists with events and activities of major organization initiatives.

• Arranges detailed travel plans both domestic and international and itineraries, compiles documents for travel-related meetings.
• Prepares expense reports and reimbursements.
• Maintains confidentiality of all business, personnel, and research matters.
• Provides operational support for special projects; researches and obtains information, helps plan and ensure follow-through of assigned tasks.
• The use of good judgment, discretion, and uncompromising standards of high quality, integrity, and performance are essential

The selected individual will be adept in the use of the Microsoft Office Suite and other software productivity tools and can work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts and providing excellent follow through.

Basic Qualifications:

• Minimum High School Diploma/GED
• At least 10 years related work experience, including a minimum of 5 years of experience supporting senior leadership
• Experience with organizing/maintaining/deconflicting schedules, meetings
• Experience with scheduling travel, processing expenses and adhering to policies
• Computer skills required include experience in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel, etc. and intranet/internet proficiency
• Experience supporting organizations with multiple locations across various time zones
• Detail-oriented with strong organizational skills.
• Able to work well independently, and as part of a team.

Preferred Qualifications:

• Experience with SharePoint, CMS (Contract Management System), Salesforce
• Experience in the Aerospace Defense Industry
• Experience in reviewing and editing written material for correct spelling and grammar
• Previous experience supporting a Vice President
• Experience in Concur/ITRIP, I-Buy, Workday, NG My IT
• Experience participating and hosting in-person and remote Video Teleconference meetings (i.e. Zoom, MS Teams, etc.)

This position reports to Falls Church, VA, USA, however, this position can also be worked from Unknown City, VA, VA, USA.

Salary Range: $73,200 USD - $122,000 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
