Northrop Grumman Space Systems is currently searching for an experienced

Administrative Assistant Level 4 to join our Launch Vehicles business unit in Chandler, AZ.

This role will provide administrative support on restricted programs in a fast-paced aerospace environment, as well as overall program support coordination; facilities, onboarding, IT/IS, and training.

Essential Functions:

  • Manage and maintain calendars and schedules

  • Schedule and manage multiple conference rooms

  • Schedule meetings, track action items, and coordinate technical reviews

  • Ensure appropriate meeting preparations are made (coordination of call-in number, meeting materials, meals, etc.) for both internal and external meetings

  • Coordinate travel arrangements (both Domestic and International), and process expense reports

  • Create accurate and concise correspondence, forms, reports, spreadsheets, presentations, etc.

  • Open, sort, and distribute incoming correspondence to of mail and email

  • Compose responses to routine inquiries

  • Assist in compiling weekly leadership status reports

  • Interact with employees, leaders, and customers

  • Assist with on-boarding new program employees

  • Coordinate support from facilities, IS, IT, and training

  • Responsibilities include the full range of standard administrative duties to include meeting coordination, document preparation, escorting visitors, as well as both domestic and international travel and expense processing and preparation of briefings

  • Distribute reports, data, and forms to the organization as needed

  • Must work well under pressure, be an independent thinker, and have track record of working in a fast-paced, multifaceted environment

  • Will be responsible for handling Program Director and Senior Managers calendars with precision

  • Work is highly proprietary in nature and an ability to handle information with discretion is critical

  • Assisting in uploading and maintaining the team’s SharePoint sites

  • Interacts with Operating/Business Unit, Sector, Corporate and external customer’s high-level executives, administrative, and line management personnel to gather or convey relevant information

Basic Qualifications:

  • High School Diploma and minimum 6 years administrative support experience

  • Active DOD Secret Security clearance required to start or the ability to obtain an active DOD Secret clearance or higher

  • Strong written and verbal communications skills

  • Highly motivated, enthusiastic, able to juggle multiple tasks, competing priorities and respond quickly in a dynamic environment, detail oriented

  • Proficiency in Microsoft Office applications; including Word, Excel, PowerPoint, and Outlook

  • Able to demonstrate independent judgment in fast-paced office environment

  • Experience with SharePoint and Costpoint

  • Ability to work on-site

Preferred Qualifications:

  • Active DOD Secret Clearance

  • Executive administrative support experience

  • Experience working with government customers

  • Knowledge of NGC resources, policies, and procedures is desirable

  • Experience with Concur (or similar) travel and expense reporting system

  • Successful candidate will have a strong commitment to ethics and integrity


Salary Range: $55,100 USD - $91,800 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
