Northrop Grumman, Strategic Space Systems Division, has an opening for an Administrative Assistant 4 to join our team of qualified, diverse individuals. This position will be located in Redondo Beach, CA.

 

Successful candidate will be a vital member of the team in an administrative leadership role, which by nature of the position involves high-level contacts and exposure to sensitive program, new business, personnel and technical information necessitating considerable use of tact, diplomacy, discretion, and judgment.  

 

Responsibilities include but are not limited to:

  • Performing normal office functions such as setting up and maintaining files/content; vetting callers and making proper referrals; arranging meetings and tours; arranging for catering, maintaining Outlook calendars; and receiving, referring, or answering mail

  • Reviewing documents and communications for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures

  • Gathering, compiling, and reporting on information relevant to organization, and for inputs into newsletters, communications , and business unit website; sometimes assists with creativity

  • Providing support to high volume travel (periodic) to include travel arrangements, expense reports, and all forms of correspondence

  • Maintaining and ordering supplies for the team

  • Supporting administrative functions for program initiatives and major milestone events

 

Essential Functions:

  • Maintains Director’s and next level Managers’ schedules and coordinates management meetings

  • Communicates with executive, administrative, management, team and customer personnel to gather or convey relevant information, and provide logistical support, interface for customer visits.

  • Coordinating internal and external briefings/presentations; coordinating agendas, logistically setting-up and “driving” key management and technical meetings; taking notes

  • Maintaining Operating Unit organizational charts and staffing/seating plans

  • Supports and maintains a positive and collaborative work environment

 

The ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently will be vital to the success of this role.

Flexible Schedules:  For example, some roles offer the ability to work a 9/80 work schedule, which allows an employee to work a nine-hour day Monday through Thursday and take every other Friday off of work

 

Basic Qualifications

  • High School Diploma or General Education Diploma (G.E.D) with a minimum of 6 years of experience as an Administrative Assistant or performing administrative related work

  • Experience using Microsoft Office Suite (Outlook, Word, Excel, or PowerPoint), Zoom, Teams, Camera accessories.

  • Proficiency in Outlook to maintain busy calendars for multiple staff members and coordinate meetings, including customer visits, over a variety of locations and facilities

  • Active Top Secret with recent SSBI; OR SCI Clearance

 

Preferred Qualifications

  • Active SCI clearance

  • Ability to work with minimal supervision and interface effectively at all levels within the organization while protecting and maintaining confidentiality

  • Ability to manage and execute communications (written/verbal) with stakeholders through organized processes to ensure that information is defined, collected, shared, understood, stored and retrieved in a manner that effectively meets program and stakeholder needs.

  • Proficiency in business and travel expense system (Concur, Edge, or similar) with complex, frequently, changing travel

  • Experience in planning and providing logistical support for meetings and events

  • Familiarity with Northrop Grumman (NG) policies and procedures

  • Familiarity with NG systems (Concur, iBuy, and other NG tools)


Salary Range: $63,800 USD - $106,300 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
