Northrop Grumman is seeking an Administrative Assistant 4 to support the Director of Business Operations within the Navigation, Targeting & Survivability Division located in Rolling Meadows, IL.  The successful candidate will work well in a highly dynamic environment, be an independent thinker, be customer oriented, be proactive and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload supporting multiple managers, employees, and priorities as required. This position is predominantly onsite but does have some flexibility to work remote up to 10% of the time. 

This position is responsible for preparing and releasing a variety of complex communications and documents that affect the organizational unit; following procedures which includes appropriate access to confidential information; preparing and adjusting travel arrangements and completing expense reports; coordinate various department events; support Executive visits, agendas, and facility tours; and generally acting and making decisions in alignment with the Director’s leadership. This position also coordinates business meetings, arranges, maintains, and modifies the Director’s schedule and associated departmental and Division activities.

The selected candidate will also perform diverse administrative responsibilities in support of our Future of Work initiatives that are evolving the way we work. The selected candidate must be well-organized and able to handle a wide range of assignments on time.  The individual must be an exceptional team player, collaborative, self-motivated, detail oriented, assertive as necessary and able to work with minimal supervision. 

Responsibilities include but are not limited to:

  • Position may require some overtime.
  • Communicates with executive, administrative, customer and management personnel to gather or convey relevant information.
  • Coordinates internal and external briefings/presentations, management meetings and Site visits to assist with tour logistics, content prep and set up/tear down.
  • Responsible for supporting Division cadence and scheduling and arranging key meetings.
  • Performs all normal secretarial, administrative, and clerical duties of the senior administrative assistant.
  • Gather, compile and report on information relevant to supervisor’s assignment.
  • Assists in maintaining the organization's collaboration electronic sites, including SharePoint and Teams.  Follows up on open actions to ensure deadlines are met, and gathers, compiles, and reports on information relevant to supervisor’s assignments.
  • Supports cross-functional teams as directed by the Director in support of business operations.
  • Coordinates calendars, extensive, frequently changing travel arrangements, expense reports and all forms of correspondence.
  • Processes DSEAs as required.
  • Review drafts and finished documents for appropriate grammatical usage.
  • Answer questions relating to office operations and established policies and procedures.
  • Establish relationships and collaborate administrative processes across sites with stakeholders and subject matter experts to fulfill job responsibilities. 
  • The selected individual will have the ability to work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow through.
  • Future of Work (FoW) Support
    • Establish and maintain Hoteling/Common area support such as coffee & office supplies.
    • Act as Rolling Meadows AgilQuest account creation and troubleshooting lead.
    • Act as liaison between Business Operations and Facilities to coordinate personnel move logistics for Division-level projects.
    • Develop employee communications for FoW-related events and initiatives (e.g., Catalyst content & flyers for things like FoW Open Forum, hoteling announcements, site-level moves, etc.)

This position will be staffed at a level 4, based on the basic qualifications below.

Basic Qualifications:

  • Level 4: High School diploma or equivalent and 6 years additional education and/or related experience.
  • Computer skills in Microsoft Office 365 software: Word, PowerPoint, Outlook, and Excel.
  • Experience participating and hosting in-person and remote video teleconference meetings (such as Zoom, Skype, MS Teams).
  • Outstanding verbal and written communication and interpersonal skills
  • Experience with using SharePoint.
  • Candidate must be a team player and demonstrate ability to collaborate with others including administrative assistants.
  • Candidate must be able to obtain DoD Secret clearance.

Preferred Qualifications:

  • Knowledge of Northrop Grumman policies and procedures
  • Demonstrates creativity and resourcefulness in problem solving.
  • Requires organizational skills, working independently with minimum supervision.
  • Travel, Executive visits, and Business Operations Experience
  • Experience with Confluence
  • Active Secret DoD Clearance


Salary Range: $60,900 USD - $101,500 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
