Northrop Grumman Defense Systems is seeking a self-motivated, hard-working full-time Administrative Functional Support person for the Japan Global Hawk Contractor Logistics Support (CLS) Program in Misawa, Japan.

Performs secretarial and clerical support for manager and assigned staff.  Assignments are somewhat broad in nature and may require guidance and direction.  Prepares correspondence and maintenance of files, records and calendars, working within the limits of company policy.  Must possess working knowledge of secretarial and clerical routines and procedures including computer operations.  Must possess the ability to make sound independent decisions, based on established procedures and knowledge of department operations and priorities.  Must be able to multi-task. Possess good oral and written communication skills, possibly of a confidential nature.  Verbal and written Japanese language fluency is strongly preferred.  Coordinate activities with Japanese Air Self Defense Force (JASDF), Japanese companies, and Misawa Base personnel.

Work activities include: Typing correspondence, reports, memoranda, minutes and similar documents from original notes or drafts and composing routine transmittals or responses from discussions or independently from knowledge of circumstances and standards as directed.  Ensures correspondence complies with established standards for grammar, punctuation, terminology, spelling and format.  Performs on-boarding processes to ensure new employees are correctly in processed to the company.  Makes travel arrangements and tracks travel expense reporting.  Work with team members to accurately track and submit finance report for allowances and benefits.  Maintains calendars for assigned personnel, arranges and schedules meetings and appointments, obtains confirmation and follows up with other parties.  Makes meeting arrangements including locations, materials, and equipment.  Attend meetings to take, finalize and distribute minutes.  Track inventories and support replenishment for company assets & office supplies, and maintain long range schedules.  Coordinate local procurement of items with Japanese companies.  Work with Japanese customer and base personnel.  Support team with data entry and analytics as needed.  Support executive site visit planning and work with site manager and security to coordinate planning.

Position will start in the U.S. for up to 2 months to support preparation and training prior to deployment to Misawa, Japan for a 2-year assignment.  Prior to deployment to Japan, expect 50% domestic travel to San Diego, CA and/or Sierra Vista, AZ. There are additional plus ups for this position such as Housing Allowance, Cost of Living Allowance, Temporary Living Expenses, Household Goods shipment and much more.

Basic Qualifications for a level 3: 

  • High school education and four year related secretarial/general office experience
  • Possess good keyboard skills and the ability to work for sustained periods as required
  • Must possess good knowledge of secretarial and clerical routines and procedures including basic computer operations.
  • Must be a US Citizen with current DoD Secret Clearance
  • Able to commit to 2-year overseas assignment to Misawa, Japan
  • Must be able to support the 24/7 operations environment and adapt to changing priorities based on mission need
  • Willingness to work after hours and weekends as required

Basic Qualifications for a level 4: 

  • High school education and six year related secretarial/general office experience
  • Possess good keyboard skills and the ability to work for sustained periods as required
  • Must possess good knowledge of secretarial and clerical routines and procedures including basic computer operations.
  • Must be a US Citizen with current DoD Secret Clearance
  • Able to commit to 2-year overseas assignment to Misawa, Japan
  • Must be able to support the 24/7 operations environment and adapt to changing priorities based on mission need
  • Willingness to work after hours and weekends as required

Preferred Qualifications: 

Fluent in Japanese, verbal and written, is strongly preferred


Salary Range: $47,100 USD - $96,600 USD
